GolfOptimise (“we”, “us”, “our”) provides golf performance tracking and analytics tools. For the purposes of the UK General Data Protection Regulation (“UK GDPR”), we are the data controller of your personal information.

2. What information we collect

Depending on how you use GolfOptimise, we may collect:

  • Identity & contact data: name, email address.
  • Account data: username, hashed password, preferences.
  • Golf data you enter: rounds, scores, strokes gained metrics, clubs used, notes.
  • Technical data: IP address, device/browser type, pages visited, referral source, cookie identifiers.
  • Support communications: messages you send us and related metadata.
  • Billing data (if you purchase): transaction details (processed by our payment provider; we don’t store full card numbers).

3. How we use your information & legal bases

We only process personal data where we have a legal basis under UK GDPR:

  • To provide the service (create/manage your account, display your golf stats, customer support)
  • To improve, maintain and secure the service (analytics, debugging, preventing abuse)
  • To send service emails (account, security, changes)
  • To send marketing communications (news, features, offers).
  • To comply with laws (tax, accounting, legal requests)

4. Cookies & analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and analyse usage. You can control cookies through your browser settings. If you block essential cookies, some features may not work.

5. Marketing

We send marketing emails only if you explicitly opt in. Every marketing email includes an unsubscribe link. You can also withdraw consent by contacting us at james@golfoptimise.com.

6. Sharing your information

We do not sell your personal data. We may share it with:

  • Service providers (processors) such as cloud hosting, email delivery, analytics, customer support, and payment processing — strictly to provide our service.
  • Professional advisors (legal, accounting) under confidentiality duties.
  • Authorities where required by law or to protect rights, safety, and security.

7. International transfers

If we transfer personal data outside the UK (for example, to service providers), we use appropriate safeguards, such as the UK International Data Transfer Addendum (IDTA) or other approved mechanisms, to protect your information.

We keep your personal data only as long as necessary for the purposes set out in this policy, including to provide the service, meet legal obligations, and resolve disputes. If you delete your account, we will delete or anonymise your personal data unless we must keep it for legal or regulatory reasons.

We use technical and organisational measures appropriate to the risk, including encryption in transit, access controls, and regular backups. No method of transmission or storage is 100% secure, but we work to protect your information.

10. Your rights (UK)

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data (in certain circumstances).
  • Object to processing based on legitimate interests and to direct marketing.
  • Restrict processing in certain circumstances.
  • Request a copy of your data in a portable format.
  • Withdraw consent where processing is based on consent.

11. Children

GolfOptimise is not directed to children under 13. If you believe a child has provided personal data, please contact us and we will take appropriate steps to remove it.

If you have concerns, please contact us first. You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO): ico.org.uk.

13. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date and, where appropriate, notify you by email or in-app.
